Who we are
This portal is operated by DeDeavors, dba DeSantis Solutions, 100 Mead Ave, Meadville, PA 16335.
Who this covers
The portal is used by employees of our client organizations to order supplies for their workplaces. Your account is created for you by your employer, or by us at their request. This policy explains what we hold about you and what we do with it.
What we collect
When your account is set up. Your name, work email address, and optionally a work phone number. We record which organization you work for and what you are allowed to do in the portal.
When you use it. The orders you place, including products, quantities, prices, purchase order numbers, any notes you add, and which of your locations the order is for. We keep a record of approvals and, where budgets are in use, any reason you give for exceeding one.
Automatically. The date and time you sign in, and the IP address you signed in from. We keep a log of significant actions in the portal, such as an order being approved or a setting being changed, so there is a record of who did what.
About your locations. Delivery addresses, site contact names and phone numbers, and any delivery instructions your organization provides.
What we do not collect
We do not take payment through the portal, so we hold no card or bank details. We do not use analytics, advertising, or tracking of any kind. There are no third-party scripts on any page.
Cookies
One cookie, named orders_sid. It keeps you signed in and expires after seven
days of inactivity. It cannot be read by scripts and is only sent over an encrypted
connection. There are no other cookies and no tracking cookies.
Who can see your information
Within the portal, what you can see is limited by your role. People at your organization with administrative access can see orders placed for that organization. Where district managers are in use, they see only the locations assigned to them. DeSantis staff who look after your account can see your organization's orders in order to fulfil them.
Who we share it with
Nobody.
We do not sell, rent, or share your information with third parties for marketing or any other purpose.
There are two necessary exceptions, and both are us running the service rather than sharing your data. Your orders pass into our internal business system so they can be picked, shipped, and invoiced; that system is ours. And the portal runs on servers we rent from Akamai Connected Cloud in Chicago, Illinois, with email sent through our own mail server. Our hosting provider stores the data on our behalf and does not use it.
If this ever changes, for example if we connect the portal to a supplier's ordering system, we will update this policy and tell you before it takes effect.
How long we keep it
We keep your order history for as long as your organization holds an account with us. When an account is closed, we delete the data from the ordering portal within 120 days. If you want it removed sooner, ask and we will do it.
The activity log is kept for 24 months and then deleted. Backups are held for 30 days and then overwritten.
How we protect it
Passwords are stored hashed, never in readable form, so nobody at DeSantis can see yours. All traffic is encrypted. Sessions expire. Repeated failed sign-in attempts raise an alert to our team.
Your choices
To ask what we hold about you, to correct something, or to ask us to delete it, contact us through the form on our website. If your account was created by your employer, we may need to check with them first, since the account and its order history belong to their organization.
Changes
If we change this policy we will update the date at the top and, where the change matters, tell you directly.
